1. About this policy

Anjuna People Pty Ltd (ACN 670 798 544, ABN 95 670 798 544) (“Anjuna People”, “we”, “us”, “our”) is a specialist civil and structural engineering recruitment business operating in Southeast Queensland. We respect your privacy and are committed to protecting the personal information we hold about you.

This policy explains what personal information we collect, how we collect and use it, who we share it with, how we keep it secure, and how you can access or correct it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using our website or providing your personal information to us, you agree to your information being handled as described in this policy.

2. The personal information we collect

The kinds of personal information we collect depend on how you interact with us.

Website enquiries. When you submit an enquiry through our website, we collect your name, email address and the content of your message.

Candidates. If you engage with us as a candidate, we may collect your name and contact details, your resume or CV, employment and education history, qualifications and professional registrations, work rights and visa status, remuneration expectations, references and referee comments, and any other information you choose to provide or that is relevant to placing you in a role.

Clients and contacts. If you engage with us as a client or business contact, we collect your name, role, business contact details and information relevant to the roles you ask us to fill.

Website and technical data. We collect limited, aggregated analytics about how our website is used (such as pages viewed and approximate region). See section 10.

Sensitive information. Some information we collect in the course of recruitment may be sensitive information (for example, information that could reveal health, or membership of a professional or trade association). We only collect sensitive information where it is reasonably necessary for our functions and, where required, with your consent.

3. How we collect personal information

We collect personal information directly from you wherever practicable, including when you complete a form on our website, email or call us, or meet with us.

We may also collect personal information from third parties or publicly available sources, such as professional networking sites, job boards, your nominated referees, and your prospective or former employers. Where we collect your information from someone other than you, we take reasonable steps to ensure you are made aware of this policy.

4. Why we collect, hold and use personal information

We collect, hold and use personal information to:

• respond to your enquiries and communicate with you;
• provide recruitment and related services to candidates and clients, including assessing suitability and matching candidates to roles;
• submit candidate details to prospective employers, with the candidate’s consent;
• carry out reference, qualification and work-rights checks where relevant;
• manage our relationship with you and our records;
• send you information we think may be relevant to you, where permitted (see section 13); and
• meet our legal, regulatory and insurance obligations.

If you do not provide the personal information we request, we may be unable to provide our services to you.

5. Disclosure of personal information

We may disclose personal information to:

• prospective employers and clients, in the case of candidates, with your consent;
• your nominated referees;
• our service providers and contractors who help us run our business, including website hosting, database and storage, email, and analytics providers (see section 6);
• our professional advisers, such as our accountants, lawyers and insurers; and
• government, regulatory or law enforcement bodies where required or authorised by law.

We do not sell your personal information.

6. Service providers and where your information is stored

We use reputable third-party service providers to operate our website and store information. These include website hosting and serverless infrastructure, a database and storage platform for enquiries and candidate records, our business email and productivity platform, and a website analytics provider. We require our service providers to handle personal information consistently with this policy and applicable privacy law. The personal information we collect through enquiries and candidate and client records is stored on servers located in Australia.

7. Overseas disclosure

We store your personal information in Australia. Some of these providers process information outside Australia. You can ask us at any time which providers are involved and where they process information, by emailing dan@anjunapeople.com.au. If this position changes, we will update this policy and take reasonable steps to ensure any overseas recipient handles your information in accordance with the APPs.

8. Security of personal information

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls, secure hosting, and limiting access to those who need it. No method of transmission or storage is completely secure, and while we strive to protect your information we cannot guarantee its absolute security.

9. How long we keep personal information

We keep personal information only for as long as it is needed for the purposes described in this policy, or as required by law. We retain candidate information for two years from your last meaningful interaction with us, after which we take reasonable steps to securely destroy or de-identify it, unless you ask us to remove it sooner or we are required to keep it longer.

10. Cookies and analytics

What we use. We use Google Analytics to understand how people find and move around this site - which pages are read, which resources are useful, and whether the site is doing its job. Google Analytics sets cookies on your device to do that.

We ask first. Analytics cookies are not set unless you accept them. If you choose Essential Only, or close the banner without accepting, no analytics cookies are set and no analytics data is collected about your visit. Nothing on this site stops working as a result.

Essential cookies. A small number of cookies are needed for the site to function and to remember your cookie choice. These are always set, because without them the site cannot work or would ask you the same question on every page.

Changing your mind. You can withdraw your consent at any time by clearing your cookies for this site, or through your browser settings. We will ask again on your next visit.

Where the data goes. Google Analytics is provided by Google, which processes data outside Australia, including in the United States. Accepting analytics cookies means information about your visit - such as pages viewed, approximate location, device and browser - is processed by Google on our behalf.

What we do not do. We do not use analytics to identify you personally, we do not sell or share analytics data, and we do not use it for advertising.

11. Accessing and correcting your information

You can ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact us using the details in section 15. We will respond within a reasonable period. In some circumstances we may decline a request as permitted by law, in which case we will explain why.

12. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first using the details in section 15 so we can try to resolve it. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.

13. Direct marketing

We may occasionally send you information we believe is relevant to you. You can opt out at any time by using the unsubscribe option in the message or by contacting us. We will action opt-out requests promptly.

14. Changes to this policy

We may update this policy from time to time. The current version will always be available on our website, and the effective date below will be updated when we make changes.
